What data we collect

  • Name, email address, and phone number, when you submit a valuation request, contact form, or quick message
  • Property address or postcode, when requesting a valuation
  • Any details you choose to include in a message or enquiry
  • Basic technical data (such as browser type) generated automatically by visiting the site

We don't use analytics or advertising cookies.

How we use your data

  • To respond to enquiries, valuation requests, and viewing requests
  • To provide lettings and guaranteed rent management services to landlords who instruct us
  • To carry out tenant referencing and compliance checks where relevant to a tenancy
  • To meet our legal and regulatory obligations, including under redress scheme and client money protection rules

Our legal basis for processing

  • Consent — when you voluntarily submit an enquiry or valuation form
  • Contract — where processing is necessary to provide services you've instructed us to carry out
  • Legal obligation — where we must retain or share data to comply with property, tax, or redress scheme requirements

Who we share data with

  • Netlify — our website hosting, form-processing, authentication, and data storage provider
  • Google Workspace (Gmail and Google Drive) — used to receive and store enquiry and complaint correspondence
  • The Property Redress Scheme and Client Money Protect — where relevant to a complaint or compliance check
  • Referencing agencies, gas safety engineers, and other contractors, where necessary to deliver lettings or compliance services on a landlord's behalf
  • Zoopla and SpareRoom — property listing details only (not visitor personal data), where a property is advertised on those platforms

We do not sell personal data to third parties.

International data transfers

Some of our service providers, including Netlify and Google, may process or store data outside the UK. Where this happens, appropriate safeguards (such as standard contractual clauses) are used to protect your data in line with UK GDPR.

How long we keep your data

We retain personal data for the duration of any enquiry or tenancy relationship, plus 6 years afterward, in line with standard UK legal and tax record-keeping requirements. Where an enquiry doesn't proceed to a tenancy or instruction, we delete that data after 12 months.

  • Restrict or object to certain processing

What happens next

Acknowledgement — we will acknowledge your complaint within 5 working days.

Investigation — we aim to send you a full written response within 4 weeks of receiving your complaint.

Resolution — our response will set out our findings and, where appropriate, any action we propose to take.
We aim to respond within 4 weeks. Under Property Redress Scheme rules, you may need to allow up to 8 weeks from your original complaint before they will accept an escalated case — this applies even though our own target is faster.

If you're not satisfied

If we've not resolved your complaint within 8 weeks, or you're unhappy with our final response, you can refer the matter to the Property Redress Scheme, free of charge:

The Property Redress Scheme requires that you've given us the opportunity to resolve your complaint first, and that you raise the matter with them within 12 months of our last communication about it.
